A two-day board retreat in Fiji needs a room for twelve to thirty in boardroom set-up, a private dining option, reliable connectivity and genuine separation from the rest of the hotel. All four exist in Fiji. What does not exist is a published price: no Fiji property publishes a day delegate rate, so every figure below is a structure to quote against rather than a number to budget from.
We would rather hand you an exact line-item list and the verified tax arithmetic than invent a per-head rate you would then have to defend.
Which Fiji venues actually have a boardroom for 12 to 30?
More than planners expect, and several are not the obvious resorts. These are capacities as published by each property:
| Venue | Room | Boardroom capacity | Published area |
|---|---|---|---|
| The Westin Denarau Island Resort & Spa | Senibua | 12 | 40.5 m² |
| The Westin Denarau | Senijale | 30 | 67.2 m² |
| Radisson Blu Resort Fiji Denarau Island | Executive Boardroom | 10 | Not published |
| Novotel Suva Lami Bay | Bose Vata Boardrooms 1–3 | 12 each | 19–21 m² |
| Novotel Suva Lami Bay | Wai Maravu Room | 24 | 59 m² |
| Holiday Inn Suva | Board Lounge | 10 | Not published |
| Holiday Inn Suva | Banyan Room | 30 | 150 m² |
| Mercure Nadi | Club House | 30 | 102 m² |
| Tokatoka Resort Hotel | Duavata Meeting Room | 40 | 122 m² |
| Yatu Lau Lagoon Resort | Board Room + Breakout Room | 20 each | Not published |
| First Landing Beach Resort & Villas | Private Conference Villas | 25 | Not published |
Two observations worth acting on. The Westin's Senibua at 40.5 m² for twelve is tight by Australasian standards — around 3.4 m² a head — so if your board spreads paper, ask for Senijale instead. And Yatu Lau Lagoon Resort at Pacific Harbour is the discretion play: a 23-room resort with both a board room and a dedicated breakout room means you can effectively hold the property's meeting capacity with one booking.
How much space does a board of twelve actually need?
Transparent arithmetic beats a rule of thumb. Boardroom set-up needs roughly 2.5 to 3 m² per person for the table itself, before you add a sideboard, a screen sightline and circulation. On that basis:
- 12 people: 36 m² is workable, 50 m²+ is comfortable. Novotel Suva's 19–21 m² Bose Vata rooms are too small for twelve around one table despite the published capacity — ask to see them.
- 20 people: 60 m² minimum.
- 30 people: 90 m²+. Mercure Nadi's 102 m² Club House and Holiday Inn Suva's 150 m² Banyan Room both clear this comfortably.
Published capacity is the venue's most optimistic configuration. Area is the honest number, which is why we publish it where the venue does.
What are the cost lines for a two-day retreat?
This is the full structure. Rates come from quotes; the percentages below are published and verifiable.
Fixed, published, non-negotiable:
- VAT at 12.5%, reduced from 15% on 1 August 2025.
- Tourism Services Tax at 5% on prescribed tourism services rendered between 1 September 2026 and 31 August 2027, where the provider's turnover from those services exceeds FJ$2 million — which captures most of the venues above. It is payable by the recipient and shown separately on the invoice.
- The two are each calculated on the base charge, not compounded. FRCS's worked example: a FJ$100 charge becomes FJ$12.50 VAT plus FJ$5.00 TST, about 17.5% on top.
- Departure tax of FJ$200 per person since 1 August 2025, including a FJ$10 environmental levy, normally inside the airfare.
Quote-dependent, and what to specify when asking:
- Room hire for two full days, named room, stated set-up, with the wet-weather alternative named if any session is outdoors.
- Accommodation — room nights for directors plus any support staff, and whether a corporate rate or a group rate applies at your numbers. Note that resorts frequently set group minimums; Fiji Marriott Momi Bay, for example, publishes a ten-room minimum for group bookings.
- Catering — two breakfasts, two lunches, two dinners, and continuous tea and coffee. Ask for the private-dining option and its minimum spend separately, because that is where board retreats differ from meetings.
- AV — screen, sound for a room of twelve to thirty, a presentation laptop and a technician on call. At this size you do not need a production company, but you do need someone who can fix a cable in four minutes.
- Connectivity — specify a committed bandwidth figure in writing. No Fiji venue publishes one, which is covered in internet and bandwidth at Fiji venues. For a board that will dial in an absent director, this is the line that decides the retreat.
- Transfers — airport to venue return, and a vehicle on standby for two days.
- Service charge, if levied, and whether it sits before or after tax.
Put all seven in the enquiry and you will get comparable quotes. Leave any of them out and you will get a headline rate plus surprises — the pattern described in where Fiji conference budgets blow out.
Which precinct suits a board retreat best?
| Precinct | The case for it | The case against |
|---|---|---|
| [Denarau](/city/denarau) | 20–30 minutes from Nadi International; deepest room inventory; easy to get directors in and out in two days | Busy resorts; separation and discretion are harder |
| [Suva](/city/suva) | The right answer if the board is meeting government, regulators or institutions. Holiday Inn Suva and Novotel Suva Lami Bay both have real boardroom stock | Air access via Nausori is the constraint — see Nausori airport and the Suva access problem |
| [Pacific Harbour](/city/pacific-harbour) | Genuine separation and small properties you can nearly take over | Roughly three hours from Nadi, which eats into a two-day programme |
| [Nadi](/city/nadi) | Shortest transfer; best for a fly-in, fly-out two-day sitting | Least sense of occasion |
For a two-day retreat specifically, the transfer time matters more than it does for a five-day conference. A three-hour drive each way removes most of a working session.
What does the shape of the two days look like?
The pattern that works is a late-afternoon arrival, a private dinner, then two clean working mornings with the afternoons released.
- Day 0, afternoon: arrivals, informal private dinner. No agenda.
- Day 1: full working day, private lunch in the room or a separate space, afternoon session, dinner off site or on a deck.
- Day 2: working morning to a hard stop, lunch, departures to an afternoon or evening flight.
Build the hard stop backwards from the flight, not forwards from breakfast. For the arrival-side logic, arrival day design: working backwards from flight times applies at twelve people just as it does at three hundred.
The verdict
Choose the Westin Denarau's Senijale or Mercure Nadi's Club House for a board of up to thirty where access and simplicity matter most. Choose Yatu Lau Lagoon Resort where discretion is the point and you can absorb the Pacific Harbour drive. Choose Holiday Inn Suva or Novotel Suva Lami Bay if the retreat has a government or institutional purpose.
Then quote against all seven line items, and apply 17.5% to the prescribed services before you take the number to the board.
