Your lead time in Fiji is set by how many rooms in the country can hold your plenary, not by a rule of thumb. A 400-delegate conference chooses between roughly eight properties, so it moves 18 to 24 months out. A 50-person meeting picks from over a hundred, and often books inside six.
Read this first: no Fiji hotel, convention centre or tourism body publishes booking-window data. No survey exists of how far ahead Fiji venues sell out, and we have not invented one. What follows is built from two checkable things — how many rooms can seat a given group, and the fixed public calendar they compete inside.
How many Fiji rooms can actually seat a large plenary?
Of 129 verified venue and accommodation records in the MICE Fiji directory, only 33 publish any function-space capacity. Very few seat 400 or more theatre-style.
| Room | Property | Published theatre capacity | Note |
|---|---|---|---|
| Main Arena | Vodafone Arena, IN Suva | 5,000 (4,000 grandstand, 1,000 floor) | Sports arena, no hotel |
| Denarau Island Convention Centre | Sheraton Fiji, ON Denarau Island | 1,500 in 1,755 m² | Billed as Nadi's largest air-conditioned centre |
| Crown Convention Centre ballroom | Crowne Plaza Fiji Nadi Bay, IN Nadi | "Up to 900 delegates" on the hotel's site; 1,500 in a 925 m² ballroom in trade coverage | Conflict |
| Ratu Makutu Events Centre | Shangri-La Yanuca Island, ON the Coral Coast | 650 in 648 m² | Divides into two |
| Golden Ballroom | Sheraton Fiji, ON Denarau Island | 600 | Same resort as above |
| Watercourt ballroom | InterContinental Fiji, ON the Coral Coast | 600 | Pillarless |
| Britannia Ballroom | Grand Pacific Hotel, IN Suva | 600 on the hotel fact sheet; 400 in our directory record | Conflict |
| Davui Hall | Shangri-La Yanuca Island, ON the Coral Coast | 400 | |
| Talanoa Hall | Warwick Fiji, ON the Coral Coast | 400 in 510 m² | |
| Grand Salon | Fiji Marriott Resort Momi Bay | 400 in 355 m² | Divides into three |
Sofitel Fiji Resort & Spa ON Denarau Island publishes 550 banquet and 800 cocktail for its Grand Ballroom, but no theatre figure, so it is uncounted.
Strip out the arena, count properties rather than rooms, and you get eight hotels in all of Fiji with a published 400-plus theatre space — four in the Nadi/Denarau corridor, three ON the Coral Coast, one IN Suva. For a true 1,000-plus single-room plenary the list is three: two convention centres and a stadium. Our piece on which Fiji venue is actually the largest works through the competing claims.
Count downwards and it inverts. At 150 to 400 theatre the shortlist runs to roughly twenty rooms across Nadi, Denarau Island, Lautoka, the Coral Coast, Pacific Harbour and Suva. At 50 to 150 it is most of the 33 properties with recorded spaces. Under 50, almost all 129 have a boardroom, a closeable restaurant or a lawn.
That ratio is your lead time. Eight diaries against a hundred is the difference between negotiating and queueing.
What is realistically still open at 24, 18, 12 and 6 months out?
Read it as how much control you still hold, not a claim about occupancy.
| Lead time | Up to 50 | 50–150 | 150–400 | 400+ |
|---|---|---|---|---|
| 24 months | Everything | Full field; pick the precinct first, the room second | Full field, and the only window for a competitive RFP across all precincts | All eight open to a date you pick. Hold two |
| 18 months | Everything | Everything outside the June–October peak | Most of the shortlist; competition sits on dry-season weeks | Real choice, but eight diaries set the date. Move your week, not your venue |
| 12 months | Everything | Wide choice; peak-week rooms may be committed | Workable, but you pick from what is open rather than setting the field | You match dates to availability; perhaps two options |
| 6 months | Comfortable, and normal here | Usually achievable, sometimes across two rooms | Achievable off-peak; June–October, take what is open | A gamble across eight properties |
| Under 6 months | Normal | Possible with flexible dates and room shape | Only with flexible dates; expect to lose your first choice | Treat as unavailable unless a block releases |
What else is competing for the same dates?
The Fiji calendar is published, so this part is not guesswork. For 2026 the Fiji Government lists Girmit Day (15 May), Ratu Sir Lala Sukuna Day (29 May), the Prophet Mohammed's Birthday (24 August), Fiji Day (10 October) and Diwali (9 November). Fiji's school calendar also moves staff, drivers and domestic travel: Term 2 ends 21 August with a break to 4 September, and Term 3 closes 4 December, with schools out until 22 January 2027.
Now the source markets. NSW schools break 5–16 July 2027 and 27 September–8 October; New Zealand's 2026 Term 2 ends 3 July, Term 3 starts 20 July. Both sit inside Fiji's dry season, and arrivals show the effect: 99,311 visitors in July 2025, a record month, against 92,693 in June.
Add fixed events — the Coral Coast Sevens brings 50 teams to Lawaqa Park in Sigatoka from 14 to 16 January 2027, filling Coral Coast beds and coaches. An event needing June to October bids for the same weeks as the leisure market and both school breaks. Our guide to shoulder-season value sets out what moving outside them is worth.
Why the beds and the air seats close before the ballroom does
A venue can hold your plenary and still not hold your event. If 80 per cent of 400 delegates take a room to themselves, you need about 340 rooms on the peak night — a harder question than the ballroom. Shangri-La Yanuca Island publishes a ten-room minimum before conference group rates apply, a marker of where "group" begins. Block release dates, not venue diaries, most often derail a Fiji programme; see how room blocks work.
Air access is the second clock. Fiji Airways runs a group bookings channel for ten or more passengers, but its terms page would not load for us this session — confirm deposit, name-change and ticketing deadlines with the airline rather than assuming they match the venue's. Seasonal schedule shifts are tracked in Fiji Airways route changes.
The verdict
- Under 50 delegates: six months is ample, three usually fine.
- 50 to 150: twelve months for peak dry-season weeks, six for shoulder. The constraint is the right room, not any room.
- 150 to 400: eighteen months if the date is fixed, twelve if not. Shortlist five, not two.
- 400 and over: start at 24 months and accept that the diary sets the date. Bring a second and third date to the first conversation — nothing improves your odds more.
Your next step
Fix your plenary requirement in theatre seats, then count the rooms that meet it. Start from our venue directory and the records for the Sheraton Fiji Golf & Beach Resort, Crowne Plaza Fiji Nadi Bay Resort & Spa, Shangri-La Yanuca Island and Grand Pacific Hotel. Re-verify every capacity on the venue's own site first — as the conflicts above show, published Fiji numbers do not always agree. Then pick your month with the best time for a Fiji conference.
