Put four things in — delegate count, nights, precinct and tier — and this page gives you an indicative Fiji conference budget. It is built on the only two published rate anchors in the country, plus the current tax stack including the 5% Tourism Services Tax that took effect on 1 September 2026. Treat the output as a feasibility number, not a quote.
We need to be straight about something first. Fiji conference pricing is overwhelmingly quote-on-request. We searched the major conference-grade properties and found exactly one current, hotel-published day delegate rate and one published all-in delegate package. Nobody publishes room hire, nobody publishes AV rates, and nobody publishes seasonal accommodation rack rates. So this is a structure with two real anchors, not a price list — and a calculator that pretended otherwise would mislead you into a budget your supplier quotes will blow apart.
What goes in?
Four inputs drive everything else.
| Input | Options | What it changes |
|---|---|---|
| Delegates | 30 / 50 / 100 / 200 / 300 / 500+ | Which precincts are viable at all; coach count |
| Nights | 2 / 3 / 4 / 5 | Accommodation, F&B, transfer frequency |
| Precinct | Nadi, Denarau, Suva, Coral Coast, Lautoka, Pacific Harbour, islands | Transfer cost and time, room inventory |
| Tier | city hotel / resort / island resort | The single largest swing in the whole budget |
Above roughly 200 delegates in one seated plenary, the precinct choice narrows sharply. Lautoka's largest published room holds 170 theatre-style; the island groups are weaker still. Check how many delegates Fiji can host before costing anything.
The two anchors you can actually cite
Anchor 1 — the day delegate rate. Tanoa Waterfront Hotel in Lautoka publishes:
| Package | Per person | Includes |
|---|---|---|
| Half day | FJD 100 | One tea break plus lunch |
| Full day | FJD 115 | Morning tea, lunch, afternoon tea |
Stated as inclusive of government taxes, with conference pads and pens, flipcharts, whiteboards, a video-compatible sound system, wireless and lectern microphones, a projector screen and capped Wi-Fi. Zoom and hybrid capability is extra, amount not published. The PDF is undated — confirm it post-dates the September 2026 tax change.
Anchor 2 — an all-in island package. The 57th WACA Annual General Assembly, held at Shangri-La Yanuca Island Resort from 11 to 15 October 2026, published USD 975 per person on double occupancy, with a USD 400 single supplement. That covered four nights, airport transfers, four breakfasts, selected meals, two receptions, three dinners, one guided tour and one catamaran cruise. It excluded airfares and insurance.
That is the most useful real-world benchmark available for a four-night island-resort programme in 2026. It does not break out a room rate or a DDR, so use it as a total, not a component.
What are the line items?
Build the sheet in this order. The "seed with" column says what you may safely pre-fill and what must stay blank.
| Line | Seed with | Note |
|---|---|---|
| Day delegate rate × delegates × days | FJD 115 full day | Only published Fiji DDR |
| Accommodation × rooms × nights | Blank | No Fiji property publishes a seasonal rack rate |
| Room / venue hire | Blank | Not published by any Fiji property |
| AV and production | Blank | No Fiji supplier publishes rates |
| Airport transfers | FJD 45 per vehicle, Nadi–Denarau | Per vehicle, not per person; capacity not published |
| Longer coach sectors | Banded by passenger count | Fleet includes 53-seat coaches |
| Gala dinner / offsite | Blank | Venue-specific |
| Activities and partner programme | Blank | |
| Event insurance | Blank | A line, not an assumption |
| VAT 12.5% | Apply | Since 1 August 2025 |
| Tourism Services Tax 5% | Apply | Since 1 September 2026, above FJD 2m turnover |
| Departure tax FJD 200 pp | Apply | Usually inside the airfare |
| Contingency | 8–12% of subtotal | Your own policy |
Three lines must stay blank with a "written quote required" prompt: accommodation, room hire and AV. Those are the three largest unpublished numbers in a Fiji event budget, and an invented figure in any of them invalidates the total.
The tax stack — and what to delete
This is the section most Fiji costing templates now get wrong, on three counts.
| Line | Current position | Effective |
|---|---|---|
| VAT | 12.5% (was 15%) | 1 Aug 2025 |
| Tourism Services Tax | 5%, operators above FJD 2m turnover, on gross turnover | 1 Sep 2026 |
| Service Turnover Tax | Abolished — delete the line | 2020–21 Budget |
| Environment and Climate Adaptation Levy | Abolished — delete the line | revised 2021–22 Budget |
| Departure tax | FJD 200 per departing passenger | 1 Aug 2025 |
Industry commentary puts the combined effective burden on tourism services at 17.5%, which is a calculation rather than a Revenue and Customs statement.
Two mechanics are unpublished and materially change your per-delegate figure: whether TST applies on a VAT-exclusive or VAT-inclusive base, and whether a given supplier sits above the FJD 2 million threshold. Put both questions to every supplier in writing. Our note on VAT, service charge and levies on a Fiji event invoice carries the detail.
What rate do you convert at?
The Reserve Bank of Fiji published these on 7 October 2026:
| FJD 1 buys | Rate | Inverse |
|---|---|---|
| New Zealand dollars | 0.7867 | NZD 1 ≈ FJD 1.27 |
| Australian dollars | 0.6336 | AUD 1 ≈ FJD 1.58 |
| US dollars | 0.4425 | USD 1 ≈ FJD 2.26 |
RBF states these are indicative only and directs users to a commercial bank for firm quotes, so build the calculator to take a user-entered rate plus a bank spread.
One structural point in Fiji's favour: the Fiji dollar is pegged to a weighted basket of currencies, not floating. The gap between the rate you contracted at and the rate you pay at is therefore narrower than at a floating-currency destination — a genuine, defensible line in a board paper. See currency, FX and payment terms for Fiji events.
How to use the output
Run it once to decide whether Fiji is worth pursuing. Then throw the numbers away and replace every line with a written quote before anything reaches a board or a client.
That is not a weakness in the method; it is how this market works. The published-rate layer that exists in Australia and New Zealand largely does not exist in Fiji, and the planners who do well here are the ones who ask early and in writing. Start with Tanoa Waterfront Hotel for a DDR, Encore Event Technologies Fiji, Microhire or Stage Tech Fiji for production, and Rosie Holidays for ground handling and transfers.
Then pressure-test the result against what a Fiji conference costs per delegate, building a Fiji conference budget: the template and where Fiji conference budgets blow out. The master Fiji business events planner's guide is the route into everything else, and the capacity chart tells you which venues can hold the number you just costed.
