A Fiji event or wedding is assembled from about 32 distinct supplier categories — 20 service types, 8 kinds of venue, and 4 kinds of transport operator. Most planners brief four or five of them and let a coordinator guess the rest. This is the full list, what each category is actually accountable for, and the order to brief them in.
Everything named below is a live listing in the MICE Fiji directory, which means it has been checked against the business's own website rather than lifted from an aggregator.
Who do you brief first?
Three categories sit above the others because they contract on your behalf. Get one of them wrong and the other 29 inherit the problem.
| Category | What they are accountable for | Vertical |
|---|---|---|
| PCO (professional conference organiser) | The whole conference: programme, registration, abstracts, delegate comms, budget. | MICE |
| DMC (destination management company) | Local ground delivery: venues, transport, suppliers, permits, site inspections. | MICE |
| Event organiser | Owning and running the event itself, often for a client brand. | MICE |
| Incentive house | Designing and buying reward programmes for a corporate client. | MICE |
| Wedding planner | The couple's advocate across every other supplier on this list. | Weddings |
The distinction that matters: a DMC works in the destination, a PCO works on the event, and a planner works for you. A resort's on-site coordinator is none of the three — they manage the resort's deliverables only. How to brief a Fiji DMC and get comparable quotes covers the brief itself.
Working examples in the directory: TEWAKA Fiji, a Fijian-owned DMC and transport operator established in 1999 with an arrivals lounge at Nadi International Airport, and Rosie Holidays, a long-established inbound brand that also powers Fiji VIP Transfers.
What are the technical production categories?
These four are listed separately because in Fiji they are frequently separate businesses, and a quote for one does not include the others.
- AV — screens, projection, audio, vision mixing, technicians. Encore Event Technologies Fiji at Denarau and Stage Tech Fiji in Suva are examples.
- Lighting — stage wash, architectural and event lighting, often a specialist hire rather than part of the AV package.
- Staging — the physical deck, risers, rigging and scaffold. Formscaff Fiji sits in this category.
- Tech — registration systems, delegate apps, networking platforms and streaming.
Ask explicitly which of the four a proposal covers. "Full AV" in a resort quote commonly means a screen, a projector and two microphones.
What are the food and beverage categories?
- Catering — off-premise food production and service. Directory examples span Vasaqa Fiji and Chefs Catering Fiji in Nadi to My Kai in Suva.
- Cake — a separate trade in Fiji, not a catering sub-line. Sweet Endings Fiji and Corner Cafe are listed.
- Equipment hire — tables, chairs, linen, marquees, crockery, cool rooms. Tents and Awnings Ltd, Party and Events Fiji and RK Event Hire Fiji cover this.
The common failure is assuming a resort's banquet kitchen can absorb a large offsite dinner as well as three meal periods. It is worth reading banquet kitchen capacity: the constraint nobody checks before you sign.
What are the experience and people categories?
| Category | What they do | Typically booked for |
|---|---|---|
| Activity | Tours, dives, cruises, team programmes, cultural experiences | Both |
| Entertainment | Bands, DJs, dance companies, meke groups | Both |
| Photographer | Stills coverage | Both |
| Videographer | Film, highlight reels, event capture | Both |
| Celebrant | Solemnising the marriage | Weddings |
| Florist | Ceremony and table florals, bouquets | Weddings |
| Stylist | Decor, furniture, styling and theming | Weddings |
| Hair and makeup | Bridal party and delegate-facing grooming | Weddings |
The activity category is the broadest in the directory, running from Sigatoka River Safari and Rivers Fiji to Flavours of Fiji Cooking School, Beqa Adventure Divers and Team Up Events Fiji for structured team programmes.
One category deserves special handling. Entertainment in Fiji frequently means Fijian cultural performance — meke, choirs, warrior displays, fire. These are the work of named performers and communities, and they should be contracted, credited and paid as professional engagements rather than treated as resort decoration. Fijian warriors, meke and choirs: booking performers respectfully sets out how.
What venue and transport types can you brief?
The directory separates venues into eight types, because a conference brief and a wedding brief look for very different things in the same building.
| Venue type | Used for |
|---|---|
| Resort | Residential conferences, incentives, most weddings |
| Hotel | City conferences, delegate accommodation |
| Convention centre | Large plenaries and exhibitions |
| Beachfront island | Day-use functions, private-island events |
| Wedding venue | Standalone ceremony and reception sites |
| Chapel | Guaranteed-dry ceremony |
| Restaurant | Offsite dinners, small private functions |
| Bar | Welcome drinks, after-parties |
Transport splits four ways: transfers (scheduled and private airport runs), coach (group movements), private car (VIP and chauffeur), and boat (island transfers and on-water functions). A single group often needs three of the four on one day. Tourist Transport Fiji and Pacific Transport Limited cover the coach end; SeaFiji, Mamanuca Express and Yasawa Adventures Fiji cover the water.
Beneath venues sit spaces — individual function rooms with their own theatre, banquet, cabaret and cocktail capacities. Briefing a venue without naming the space is how groups end up in a room with pillars.
In what order should you brief them?
- Dates and headcount — nothing else can be priced without both.
- Venue and spaces — because capacity constrains everything downstream.
- Accommodation and room block — often the same contract, often not.
- Transport — air access first, then ground, then water.
- Catering and beverage — once the space and the run sheet are fixed.
- Production — AV, staging, lighting, tech as one combined brief.
- Experience — activities, entertainment, partner programmes.
- Creative — photography, video, florals, styling.
The sequence matters more than the list. Booking a stylist before the space is confirmed produces a design that does not fit the room.
What does MICE Fiji do with all this?
One brief, sent once, reaching every category above that is relevant to it — rather than 30 separate enquiry forms and 30 different reply-by dates. Directory records carry the business's own website, location and service areas so you can verify a supplier before you brief them, and suppliers can claim and manage their own listing.
