A 100-delegate conference is the easiest size to run in Fiji. Roughly a dozen venues publish a function space that seats 100 or more theatre-style, every major precinct can accommodate it, and one coach moves the whole group. The constraint that bites first is not venue capacity or air lift — it is banquet seating, because a room rated at 100 theatre usually seats 70 to 80 for dinner.
Here is the scenario worked through: venues that qualify, rooms needed, transfer waves, catering rounds, AV scale, where the budget sits, and the order to lock things in.
Which Fiji venues can take 100 delegates?
These are the published theatre capacities in the MICE Fiji directory for rooms rated between 80 and 400 — the band a 100-delegate conference draws from. Figures are as published by each property.

A dash means the property does not publish that set-up.
Read the Banquet column and the real shortlist appears. Rooms that publish both 100+ theatre and 100+ banquet: the GPH Britannia Ballroom, the Crowne Plaza Baravi 1, the Holiday Inn Lali Room, Studio 6's conference room, the Westin Senirosi Ballroom, the Radisson Blu Ballroom and Novotel House. That is where a 100-delegate residential conference with a gala dinner actually fits.
Everything else on the list works if you plenary in one room and dine in another — which, at 100 delegates, is usually the better plan anyway.
How many hotel rooms does 100 delegates need?
Plan on 75 to 85 rooms for 100 delegates. The arithmetic: a typical corporate delegation runs 10 to 25 per cent twin-share depending on seniority and whether partners travel, and you need 3 to 5 rooms above the headcount for crew, speakers and the organiser.
That is a comfortable ask in every Fiji precinct. For scale: Crowne Plaza Fiji Nadi Bay has 324 rooms, Radisson Blu Denarau 270, The Westin Denarau 246, Holiday Inn Suva 130, Grand Pacific Hotel Suva 113, Novotel Suva Lami Bay 108, Tokatoka Resort Hotel 108, Tanoa International Hotel 149.
The one to watch is the Grand Pacific Hotel. Its Britannia Ballroom seats 600 theatre and 400 banquet, but the hotel has 113 rooms. A 100-delegate group will fill the majority of the house, which is good news for your negotiating position on a shoulder-season date and bad news for a peak one. See how room blocks work in Fiji and rate negotiation and contracting with Fiji hotels.
How do you move 100 delegates from the airport?
In one coach wave, which is the single biggest operational advantage of this group size.
Fiji coach operators publish fleets up to 49 and 53 seats. Pehicle Tours Fiji runs vehicles from private sedans to 49-seat coaches; TEWAKA Fiji operates 53-seat deluxe coaches and handles conference and delegation movements; Tourist Transport Fiji is located at Nadi International Airport with coaches, minibuses and wheelchair-accessible transport and a dedicated groups department.
So a 100-delegate movement is two coaches, one wave — or three if you want luggage separated. The practical plan:
| Element | 100 delegates |
|---|---|
| Airport-to-hotel waves | 1 (2 × 50-seat coaches) |
| Meet-and-greet staff | 2–3 at arrivals |
| Daily shuttle to an offsite | 2 coaches |
| Offsite dinner movement | 2 coaches, staggered 15 min |
| VIP cars | 2–4 for speakers and sponsors |
Arrival timing is the real variable, not vehicle supply. If your delegates are on multiple inbound flights across a day, you are running several small waves rather than one big one — and that is a staffing cost, not a vehicle cost. Build the plan from the flight manifest. Airport meet and greet for conference groups and building a transport plan for a Fiji conference cover the detail; moving 100, 300 and 800 delegates around Fiji does the comparison across sizes.
How many catering rounds does 100 delegates take?
One, in most venues — and this is where 100 is genuinely easy.
A single plated service of 100 covers is within the capability of every property on the shortlist above. Buffet is simpler again: two service lines at 100 covers clears in roughly 20 to 25 minutes, which fits a standard conference lunch break without cutting into the programme.
The question to ask is not whether the restaurant can seat you — it is whether the banquet kitchen can plate 100 covers at once while also running the hotel's a la carte outlets. At city hotels with multiple restaurants this is routine; at smaller resorts it can be the binding constraint. Our guide to banquet kitchen capacity, the constraint nobody checks sets out the questions. For what it costs, see conference catering in Fiji and dietary, halal, kosher and allergy handling in Fiji.
What AV scale does 100 delegates need?
Modest, and available in-country.
For a room of 100 theatre-style you are looking at a single screen or LED wall, a front-of-house audio system with two to four wireless handhelds and two lapels, a simple lighting wash on the stage, and a vision mix if you are running video or a hybrid feed. Every venue on the shortlist with a published ballroom has built-in AV or an in-house partner.
The in-country suppliers are real and they have resort relationships. Encore Event Technologies Fiji operates as the in-house AV and events partner at leading Denarau and Nadi resorts, including the Sofitel and the InterContinental. Microhire works as a venue AV partner including at the Sheraton on Denarau and is listed among Tourism Fiji's event suppliers. In Suva, Stage Tech Fiji and UPER Group supply AV and staging.
At 100 delegates you should not need to fly kit in. If you are told you do, get a second quote. AV and production in Fiji: what's available in country covers the market, and can you bring AV equipment into Fiji covers the customs position if you decide to.
What does a 100-delegate Fiji conference cost?
We do not publish an invented per-head figure, because the range across Fiji precincts, seasons and property tiers is wide enough that a single number would mislead you. What we do publish is the structure and the real benchmarks:
- What a Fiji conference costs per delegate — the per-head breakdown
- Building a Fiji conference budget: the template — the line items
- Where Fiji conference budgets blow out — the overruns
- VAT, service charge and levies on a Fiji event invoice — what sits on top
All Fiji venue pricing is quoted in Fijian dollars (FJD). The Reserve Bank of Fiji sets the FJD–USD official rate at 9.00am each business day and calculates other currencies from it, and describes its published rates as indicative only — so take your NZD or AUD conversion on the day you contract, from your own bank.
The structural point for 100 delegates: this size sits in the sweet spot where you get full conference facilities without paying for a convention centre or running multiple catering waves. Your per-head cost should be lower than the same programme at 300.
Which constraint bites first?
In order, from most to least likely to stop you:
- Banquet seating, not theatre seating. Rooms rated 100 theatre commonly seat 70 to 80 for dinner. Check both numbers before shortlisting.
- Room availability on peak dates. At 75 to 85 rooms you are a significant block for a 113-room heritage hotel and a rounding error for a 324-room resort. Lead times matter — see booking lead times for Fiji venues.
- Arrival spread. Multiple inbound flights turn one coach wave into four staffed waves.
- Banquet kitchen throughput at smaller resorts running a full a la carte service alongside your dinner.
- Wet-weather alternative if any element is outdoors. See wet weather contingency by venue.
Air lift is not on that list, which is the point. For 100 delegates out of Australia or New Zealand, scheduled capacity into Nadi is not the problem — see Fiji air access for planners.
Where to hold it
Denarau if the programme is a mix of conference and incentive and you want everything walkable. Nadi if cost control and airport proximity matter most. Suva if the delegates are government, finance or regional institutions, and the Britannia Ballroom's heritage setting earns its keep. Coral Coast if you want a residential conference with genuine resort activity around it.
The regional comparison is in which Fiji region suits your event and Suva or Nadi: choosing a Fiji conference city. For the venue list at this exact size, see Fiji conference venues for 100 delegates, and for the other worked scenarios, the Fiji conference scenarios hub.
