Pick the region by your delegate count and your airport tolerance, in that order. Denarau is the only Fiji precinct that handles 800-plus; the Coral Coast is the best single-address answer at 300 to 500; Nadi wins on transfer time; Suva wins on institutions and loses on access; and the islands are incentive destinations rather than conference ones.

Here is the whole decision in one table, and then the reasoning behind it.

Which region for which delegate count?

This is the part that actually eliminates options, and it eliminates them fast.

DelegatesThe region that worksWhy
20–50Anywhere, including the islandsEvery region has rooms at this size; choose on experience, not capacity
50–200Nadi, Denarau, Coral Coast, Suva, Pacific HarbourWidest genuine choice; this is Fiji's sweet spot
200–400Nadi, Denarau, Coral Coast, NatadolaFour regions with a single room at the size, each with real on-site beds
400–650Denarau, Coral Coast (Shangri-La), Natadola (InterContinental)The shortlist narrows to three properties nationally
650–1,500Denarau onlyThe Denarau Island Convention Centre is the only room publishing above 900, and the precinct is the only place with the beds
1,500+Vodafone Arena, Suva, for one sessionA sports arena with no conference fit-out and no rooms on site

Above about 650 delegates, Fiji is one region. That is worth knowing before you build a shortlist of six resorts for an 800-person conference. Fiji venues that can hold 800 delegates and 1,000 delegates work the arithmetic through; how many delegates can Fiji host? answers it at the country level.

Why the airport decides more than the ballroom

Everything international lands at Nadi. There is no non-stop service to Suva from Australia or New Zealand — the Fiji Airways Suva–Sydney route ended in late 2022 — so delegates bound for Suva, Pacific Harbour or the Coral Coast still arrive at Nadi and travel on. See Nausori Airport and the Suva access problem.

That single fact reorders the regions. Ten Australian and New Zealand cities have non-stop services into Nadi, the longest under five and a half hours, which makes Fiji unusually easy to reach — and then the ground leg quietly reclaims the advantage. A Suva conference costs every delegate three to four hours on the Queens Road on arrival and again on departure, or a domestic connection.

So the honest ranking on access is: Nadi, then Denarau, then Lautoka, then Natadola, then the Coral Coast, then Pacific Harbour, then Suva, then the islands. Weight it according to how senior and how time-poor your delegates are. For a 200-person incentive, three hours of coach with a comfort stop is part of the experience. For a board meeting, it is a day lost.

The clustering rule

The single most useful planning rule in Fiji: keep the programme inside one cluster.

  • Western cluster: Nadi, Denarau, Lautoka, Natadola and the near Coral Coast. Every internal leg under about 90 minutes.
  • Southern cluster: Pacific Harbour and Suva. Internal legs about an hour.

Moving between clusters costs roughly half a day each way. Sometimes that is right — a Suva conference with a Coral Coast incentive tail is a good programme. It is rarely right twice. Build the arc so delegates move once, in one direction, and fly out from the end of it.

Island legs are not a cluster. They are a separate transport system on a timetable: three Mamanuca sailings daily with a 15:15 last departure from Port Denarau, and a single daily Yasawa departure at 08:45. A programme with an island component is a programme with a fixed arrival day. Ferries and boat transfers for groups covers the mechanics.

Sector-specific detail is in Fiji conference playbooks by sector, and the incentive side in designing a Fiji incentive programme.

The weather asymmetry

Fiji's regions are not equally wet, and the difference is large enough to change a venue decision for an outdoor-heavy programme.

Fiji Met's 2024 Annual Climate Summary recorded 1,974 mm at Momi in the western dry zone against 3,993 mm at Laucala Bay in Suva and 4,371 mm at Navua near Pacific Harbour. That year ran at 129 per cent of the long-term average, so treat the totals as one year rather than normals — but the west-to-southeast gradient is a permanent feature of the geography.

Practical reading: if your gala dinner, your welcome function or your team-building is outdoors, the west gives you materially better odds, in any month. If the programme is indoors anyway, the gradient matters much less and you can choose on access and institutions instead. Wet-weather contingency planning for outdoor programmes covers the plan either way.

The verdict

  • Default to Denarau if you have more than 400 delegates, or if your programme is built around a large plenary and a large dinner. It is the only precinct that does both.
  • Default to the Coral Coast if you have 300 to 500 and want one address, one contract and no shuttle plan. Shangri-La Yanuca Island is the answer; accept a plenary with a seam down the middle.
  • Default to Nadi if the programme is short, the delegates are senior, or arrival-day sessions matter. Transfer time is a genuine commercial advantage and it is undervalued.
  • Choose Suva deliberately, not by elimination. It is right for institutional events and wrong for anything where a four-hour arrival transfer would be resented.
  • Treat the islands as the reward, not the venue. Build them into the end of a programme, with a fixed arrival day and a buffer.

Next step: fix the region, then test it against the capacity data in Fiji conference venues and capacity chart, the transfer reality in real transfer times from Nadi, and the city question in Suva or Nadi?.
