Two hundred delegates is Fiji's most comfortable size. The country has several venues that take it with margin, the transfer plan is five coaches rather than fifteen, and the whole group still fits in one property. The constraint that bites first is not the plenary room — it is the gala dinner, because banquet capacities run far below theatre capacities in the same four walls.

This is a worked scenario, not a venue list. If you want the list, it is at Fiji conference venues for 200 delegates.

Which venues genuinely qualify at 200?

Published capacities, from each property's own capacity chart, reviewed 15 October 2026. We have only included rooms where the operator publishes a figure.

Three honest caveats on that table, because they change decisions:

  1. The Sheraton's published areas are internally inconsistent. Its capacity chart labels areas in square feet while its own text gives several of the same figures in square metres. The capacities are usable; treat the areas as unverified until the hotel confirms them.
  2. The Westin Denarau's events page carried a notice that the hotel was closed at the time we reviewed it. Do not shortlist it without confirming current trading status directly.
  3. Holiday Inn Suva's own figures conflict. Its hotel detail page lists the Banyan Room at 100 guests while the room's own description says 150. Ask which is right, in writing.

Why the gala is the real constraint

Look down the theatre and banquet columns together. The Sheraton's Orchid ballroom takes 280 theatre but only 180 banquet. The Westin's Senirosi Ballroom takes 200 theatre and 150 banquet. In both cases, the room that seats your plenary will not seat your dinner.

The reason is physical: rounds of ten need service lanes between them, and a gala also wants a stage, a dance floor, a buffet line or a service aisle, and an AV position. Every one of those eats covers.

So the rule for a 200-delegate event in Fiji is: shortlist on the banquet number, then confirm the plenary fits. Not the other way around. At 200 that means you want a published banquet capacity of 250 or more if you want a stage and a dance floor, which on current published figures points at the Sheraton's Golden Ballroom (400 banquet) or the Denarau Island Convention Centre (1,000 banquet), or a marquee.

The second-order version of the same problem is the kitchen. A ballroom rated at 400 banquet does not guarantee a kitchen that plates 200 covers in one service. Read banquet kitchen capacity: the constraint nobody checks and ask the question before you sign.

How much room inventory do you actually need?

Share patternRooms neededPlus crew, speakers, organisers
Heavy twin-share (60% twin)~140+8 to 15
Mixed (30% twin)~170+8 to 15
All single200+8 to 15

That range is what decides your precinct. On Denarau, several individual resorts carry enough rooms to take the whole group, and the precinct as a whole carries far more. In Suva, the Grand Pacific Hotel has 113 rooms and suites across its whole property — which means a 200-delegate Suva conference is a two-hotel conference, with everything that implies for shuttles, catering splits and delegate experience. If you go that route, read multi-property conferences: running one event across four hotels first.

The Grand Pacific does publish its function inventory as 2,361 sq m (25,414 sq ft) across six venues, including the Grand Britannia Ballroom, though it does not publish per-room capacities. That is a meaningful amount of space; the room block is the limiting factor, not the meeting space.

What does the transfer plan look like?

Two hundred delegates is five full 45-seat coaches, or eight at 25 seats, before luggage and crew vehicles.

ElementAt 200 delegates
Coaches at 45 seats5
Coaches at 25 seats8
LuggageTypically 1-2 dedicated vehicles, or under-floor if coaches allow
Arrival waves1 if one flight; 2-3 if delegates arrive across the day
Meet-and-greet staffMinimum 2 at arrivals, more for a split arrival

The honest planning insight is that the headcount is not what drives the transport plan — the arrival spread is. Two hundred people on one aircraft is one wave and one briefing. Two hundred people booking their own flights is a six-hour rolling arrival and four waves. If day one has content before mid-afternoon, block the flights. See flying a group from Auckland to Fiji and building a transport plan for a Fiji conference, and price the ground leg against Nadi airport to your resort: every transfer option and time. Western operators in our directory include TEWAKA Fiji and Coastline Fiji; for Suva, Pacific Transport Limited.

What AV does 200 theatre need?

At 200 in a ballroom you are past the point where a single screen and a pair of speakers works. The realistic specification:

  • Two screens or a single large LED wall, because sightlines at row 18 are not sightlines at row 3.
  • Delay speakers at the back half of the room.
  • Two handhelds and two lapels minimum, with a spare of each.
  • A dedicated operator, not the hotel's duty manager.
  • Comms between stage management, the AV desk and the back of house.
  • A rehearsal slot the afternoon before, written into the contract.

Fiji has in-country production capability at this scale — Encore Event Technologies Fiji and Microhire both operate here — so you should not be freighting a full kit from Auckland or Sydney. Read AV and production in Fiji: what's available in-country before you assume otherwise, and LED walls, projection and screens for the specification detail.

The indicative budget skeleton

We are not going to publish a per-delegate benchmark we cannot source. Here is the structure, with the one published rate we could verify.

LineBasisWhat we can publish
Day delegate packagePer person per dayHoliday Inn Suva publishes an Eco-Incredible Package at $110 per person DDP. At 200 delegates that is $22,000 per day for that element. Confirm availability at group volume.
AccommodationPer room per nightQuoted. Depends on season, property and block size.
Gala dinnerPer personQuoted. Expect it to sit above the DDP rate.
AV and productionPer eventQuoted. The single most variable line at this size.
TransfersPer coach movementQuoted. Five coaches each way, plus offsite movements.
Offsite functionPer person plus venue hireQuoted. Holiday Inn Suva publishes its Pizza Deck at FJD 1,500 private hire for up to 45 — useful as a scale marker for small offsites, not for 200.
DMC or PCO feePercentage or flatQuoted.
Contingency8-12% of totalYour own judgement.

At indicative Reserve Bank of Fiji rates of 14 October 2026 (FJD 1 = NZD 0.7878, AUD 0.6333), that $22,000 day is roughly NZD 17,300 or AUD 13,900.

Which precinct should you choose?

PrecinctCase forCase against
DenarauShortest transfer, deepest room and function inventory, most offsite options, convention centre on siteResort-strip feel; delegates rarely leave it
Coral CoastResort-island atmosphere, InterContinental's large pillar-less ballroom, Natadola golfLonger drive from NAN; thinner offsite choice
Pacific HarbourDiving, rafting, genuine adventure programmeSmaller function inventory at 200
SuvaGovernment, regional and institutional relevance; the capital's institutionsTwo-hotel room block; weaker weather; Nausori access

Work the choice properly through Suva or Nadi: choosing a Fiji conference city and which Fiji region suits your event.

The ten-step sequence

  1. Fix the dates against weather and the festival calendar.
  2. Set the room-block shape — twin-share assumption decides your precinct.
  3. Shortlist on banquet capacity of 250+.
  4. Confirm plenary, breakout and pre-function space in the same property.
  5. Ask every venue the kitchen-covers question.
  6. Block the flights before you build day one.
  7. Get AV quoted in-country, with a rehearsal slot in the contract.
  8. Lock the wet-weather plan for every outdoor element, named room by room.
  9. Brief two or three DMCs identically — see how to brief a Fiji DMC and get comparable quotes.
  10. Site-inspect before contracting, using the site inspection checklist.
