At 500 delegates, Fiji's plenary capacity is not the problem. The Denarau Island Convention Centre seats 1,700 theatre-style across 1,755 square metres, and three other rooms in the country will take 500 seated. The constraint that bites first is bedrooms — no single Fijian property holds 500 rooms, so a 500-delegate residential conference is a two-property event, and that decision cascades through everything else.

This is the worked scenario. Five hundred delegates, four nights, one plenary, breakouts, a welcome function and a gala dinner, arriving largely through Nadi International Airport.

What does 500 delegates actually require?

RequirementWhat 500 delegates needsWhy it is the number it is
Plenary room500 theatre plus staging, so 700–800 theatre capacityStage, screens, camera positions and aisles eat 25–40% of a seat count
Banquet room500 on rounds, so 550–600 banquet capacityRounds of 10 need roughly three times the area per head of theatre seating
Breakout rooms4–6 rooms at 80–150 eachFour concurrent streams is the usual pattern at this size
Pre-function spaceArea for 500 standing, adjacent to plenaryRegistration, catering breaks, sponsor display
BedroomsRoughly 430–500 rooms at predominantly single occupancyCorporate delegates rarely share
Coaches, per wave10 on 50-seat vehiclesPlus luggage trailers and a marshal per wave
Catering rounds50 tables of 10, plus service corridorsKitchen throughput, not floor area, is the limit

The bedroom line is the one that decides the venue. At 85% single occupancy you are looking for the better part of 500 keys on a single campus, and Fiji's largest resorts run to 297, 324 and 356 rooms. The arithmetic does not close on one property.

Which Fiji venues qualify at 500?

These are the published capacities for the rooms that can genuinely hold a 500-delegate plenary or gala.

And the honest second table — the properties that cannot take 500 in one room, which matters because several of them appear in Fiji conference pitches:

  • The Westin Denarau Island Resort & Spa — Senirosi Ballroom seats around 200 theatre. Its value at 500 is its 246 rooms and its shared access to the Denarau convention complex, not its own ballroom.
  • Radisson Blu Resort Fiji Denarau Island — Captain's Ballroom seats around 170. A good overflow or breakout property; not a plenary venue at this size.
  • Novotel Nadi — six meeting rooms, the largest around 260m². Our directory record lists up to 700 theatre and 100 banquet for that room; 700 seats in 260 square metres is far above normal seating density, so treat the theatre figure with caution and ask the hotel for a set-up plan before counting on it.
  • Tanoa International Hotel — Tagimoucia Room around 200. Useful as an airport-side arrival or departure property.

Where sources conflict. Two figures in this scenario do not reconcile, and you should know about both:

  1. Crowne Plaza's Crown Convention Centre. The resort's own events page describes a pillarless ballroom seating up to 900 delegates, with total meeting space across seven venues of 1,540m². Our directory record, built from an earlier source, puts the same space at up to 1,450 guests and the Baravi Ballroom at 493m² for up to 525. Both appear in the market. At 500 delegates either figure works, but if you are scaling to 900 or beyond, get it in writing.
  2. Sheraton's total event space. The Marriott events page lists ten indoor rooms totalling 3,551m², while the same page carries a headline figure of about 25,000 square feet — roughly 2,323m². The room-by-room figures are the ones to plan from.

How do you solve 500 bedrooms?

The clean answer ON Denarau Island is the Marriott complex: Sheraton Fiji Golf & Beach Resort at 297 rooms and The Westin Denarau Island Resort & Spa at 246, which between them give 543 keys sharing 60 acres of seafront, a choice of 17 restaurants and bars, six pools, an adjacent 18-hole championship course — and the Denarau Island Convention Centre on site.

That is the structural difference between a two-property event that works and one that does not: two properties sharing a campus, not two properties sharing a coastline. Delegates walk between them. There is no shuttle to run, no second catering operation to coordinate, no second-class cohort.

The alternatives:

  • Hilton Fiji Beach Resort & Spa at 356 rooms is the largest single Denarau property, with the Koro Lawn taking receptions of up to 2,000. At 500 delegates it still needs an overflow property — Radisson Blu at 270 rooms is the obvious neighbour — and the plenary needs solving separately.
  • Crowne Plaza Fiji Nadi Bay Resort & Spa at 324 rooms, about 15 minutes from the terminal at Wailoaloa, pairs the strongest airport-side convention capability with the shortest transfer in Fiji. Overflow comes from the Wailoaloa and Nadi hotels nearby.

Our guide to running one event across four hotels covers the contracting mechanics. The short version: one rooming list, one rate structure, one point of accountability, and an attrition clause that treats the properties as a single block.

How do 500 delegates get from the airport?

Ten coaches per wave on 50-seat vehicles — and ten coaches on one terminal forecourt at once is a staging problem, not a vehicle problem.

The capacity exists. TEWAKA Fiji runs 53-seat deluxe coaches with a meet-and-greet arrivals lounge at the airport, Tourist Transport Fiji is based at the terminal with a dedicated groups and series department and reports carrying more than 100,000 passengers a year, and Pehicle Tours Fiji operates up to 49-seat coaches. Go Local Fiji adds 15, 22 and 35-seat vehicles for smaller waves.

What to plan:

  • Wave by flight, not by hour. Each inbound service gets its own coach allocation and its own marshal.
  • Denarau is about ten kilometres from the terminal, normally 20 to 30 minutes. Allow more when several wide-body arrivals land together.
  • Hold the vehicles against flight numbers, not dates, so a delay moves the coach rather than stranding it.
  • Luggage separately for the large waves. A 50-seat coach loaded with 50 delegates' four-night luggage is slower to load than it looks.

Our 300-delegate airport movement guide sets out the marshalling pattern in detail; at 500 it is the same method with three more coaches.

How do you feed 500?

Floor area is the easy constraint. Kitchen throughput is the real one. Fifty rounds of ten plated simultaneously is a different operation from a 150-person dinner, and it is where Fijian venues most need advance notice.

  • Plated service at 500 needs a banquet kitchen adjacent to the room, agreed course timings and a realistic service window. Ask how many covers the kitchen plates per hour, not whether it can seat 500.
  • Buffet or station service at 500 needs multiple service points — plan on one station per 60 to 75 guests to avoid queues that swallow a session break.
  • An outdoor gala opens the biggest options: Sandy Point at 600 banquet, the Proshop lawn at 800, the 15th Hole at 500. Each needs a wet-weather alternative contracted in writing at the same capacity, which at 500 means the convention centre itself.
  • Coffee breaks for 500 are the hidden pinch. Pre-function area, multiple service points, and 25 minutes rather than 15.

What AV does 500 need?

A 500-seat plenary is a staged production: screens either side plus a centre screen or LED wall, line-array audio, a lectern and a presenter mic plus roving mics, comfort monitors, a vision mix if you are recording or streaming, and a control position inside the room.

Fiji can do this. Crowne Plaza Fiji Nadi Bay publishes an in-house audio-visual team with staging, platforms, projection, video conferencing and lectern provision; Microhire operates in Nadi for larger builds and Formscaff Fiji handles staging and structures.

Confirm three things in writing before you contract:

  1. Loading access and bump-in hours — how the trucks reach the room, and when.
  2. Power — available load, distribution, and generator redundancy for anything outdoors.
  3. Exclusivity — whether the venue's in-house AV provider must be used, and what the surcharge is if not.

What about the budget?

We will not publish a per-delegate figure for 500 without a quote behind it. The number moves too far on season, occupancy mix, catering format, AV scale and how much of the programme is off-site, and an invented average would walk straight into your board paper.

What we can tell you is the shape:

  • Linear with headcount: accommodation, catering, transfers, delegate materials, name badges, insurance.
  • Step-changes at 500: the plenary room itself, the AV build, the staging, the number of coaches, the number of catering service points, the size of the on-site crew.
  • Fixed regardless: venue hire for the convention centre, the production design, speaker fees, the project management.

Price it in Fijian dollars and fix the conversion date in your paper. For reference, FJD 1 sat at about NZD 0.81 on 15 October 2026 and about AUD 0.66 on 12 October 2026 at market rates. Then build the structure with our cost-per-delegate guide and the conference cost calculator, and get three written quotes against an identical brief.

The verdict

Choose the Marriott complex ON Denarau Island if you want the simplest 500-delegate solution in Fiji: 543 rooms across two properties on one campus with the country's largest convention centre on site.

Choose Crowne Plaza Fiji Nadi Bay if transfer time is your priority — about 15 minutes from the terminal, a pillarless convention centre and an in-house AV team, with overflow from the Wailoaloa and Nadi hotels.

Choose Hilton Fiji with Radisson Blu if the outdoor gala is the centrepiece; the Koro Lawn at up to 2,000 is the largest reception space on the island.

Reconsider the format if you cannot secure two properties on one campus. A 500-delegate conference split across the Coral Coast and Denarau is two conferences with one agenda.

Next step

Start with bedrooms, not ballrooms. Ask three properties for a 500-delegate room block on your dates before you ask any of them about meeting space, because that answer eliminates most of the field for you. Then compare against our 300-delegate scenario and the 500-delegate venue roundup, and work through the scenarios hub or the capacity directory.

Capacities as published by each venue or held in the MICE Fiji directory and reviewed 18 October 2026. Where sources conflict we publish both figures. Confirm every capacity in writing for your specific set-up before contracting.
